Phase Breakdown

Confrences are devided into six Phases. You may have different options/responsibilities in each Phase. Below is a breakdown what to do as an Author for each phase.

Phase 1

The first Phase of the conference, this is when the Conference Chair sets up the parameters for the conference and adds other members of the Conference, and Authors submit abstracts for their papers.

Role
Setup your account for first time.  Log in, Submit Abstractions for your papers.

End-of-Phase 1 Checklist

  • Have you added at least an Abstract of each paper you want to submit?

Phase 2

The phase in which Reviewers log in, browse the submitted abstracts and place bids or make a preference selection to review specific papers.

Role
If you haven't already done so, upload all papers you have submitted Abstractions for.

End-of-Phase 2 Checklist

  • Have you uploaded or sent-in (in the case of hard-copy papers) a full version of all papers they submitted Abstractions for?

Phase 3

The phase in which the Conference Chair assigns papers to Reviewers based upon the Reviewers input and/or the Chair's judgment.

Role
Nothing for you to do in this phase.

Phase 4

Phase 4 is the longest phase of the conference, typically lasting 3-6 weeks, depending on the number of papers assigned to each reviewer.

Nothing for you to do in this phase.

Phase 5

The final discussion/selection phase. This phase may occur concurrently with or instead of a physical meeting of the reviewers. This phase typically lasts 4 - 8 days.

Role
When Author Feedback is enabled, view current reviews of your papers and submit feedback.

End-of-Phase 5 Checklist

  • Have you logged in, viewed reviews for all your papers and submitted feedback (where applicable)?

Phase 6

During this final phase, the conference chair makes the final accept/reject decisions. The authors receive the accept or reject decisions, along with the reviews and any comments by e-mail.

Role
Look for Accept/Reject decisions, reviews and comments in E-mail. If you have any paper that have been accepted, you may have the option to upload Camera-Ready versions of those papers.

End-of-Conference Checklist

  • Have you received an email with Accept/Reject notification about the papers you submitted to the conference?
  • Have you uploaded Camera-Ready versions of any Accepted Papers you submitted?
